Your Tasks

As a IP eBilling Specialist, you will be responsible for overseeing the firm’s end-to-end electronic billing operations, ensuring the seamless submission of invoices, client requirements and requests are met and manage relationships with the various eBilling vendors. You will collaborate closely with the IP professionals, finance teams, and clients to ensure accurate timekeeping, rate application, and alignment with LEDES and UTBMS standards. Your role will play a vital part in optimizing financial performance, enhancing operational efficiency, and supporting the firm’s broader billing and revenue strategy as part of our Client Operations team. 


E-Billing Platform Management 
  • Ensure invoices adhere to LEDES formats and platform-specific technical requirements.
  • Assist in resolving invoice rejections and timely troubleshooting of issues
Client Billing Guidelines Compliance 
  • Monitor and enforce compliance with client billing guidelines, including billing caps, time entry rules, and rate structures.
  • Update client eBilling requirements and proactively address discrepancies.
  • Collaborate with internal IP teams to align time entries with client expectations.
Rate Management & Time Recording 
  • Guide IP teams on timekeeping best practices and UTBMS-compliant coding.
  • Conduct periodic audits to ensure billing accuracy and compliance.
LEDES & UTBMS Standards 
  • Ensure eBilling rules and settings are set-up correctly in all applicable systems.
  • Establish correct ‘mapping’ of internal codes to client required UTBMS coding. 
  • Train internal teams on use of eBilling platforms and serve as the central source of knowledge for all eBilling questions and queries. 
  • Stay informed of changes to industry standards, changes, and ensure timely implementation.
Client Relations & Dispute Resolution 
  • Act as the main contact for client eBilling questions and queries.
  • Communicate proactively with clients to clarify eBilling items and ensure transparency.
  • Support client audits by providing documentation and detailed eBilling records.
Training & Process Optimization 
  • Deliver training on timekeeping, coding, and billing best practices.
  • Develop and maintain standard operating procedures (SOPs).
  • Contribute to projects aimed at improving billing systems and workflows.

Your Qualifications

  • Minimum of 5 years' experience in legal e-billing, preferably in a large law firm or IP-focused practice. . 
  • Strong knowledge of LEDES/UTBMS coding and e-billing platforms
  • Understanding of intellectual property law and associated billing challenges.
  • Experience handling international billing and complex client structures.
  • Analytical mindset with high attention to detail.
  • Effective communication and interpersonal skills.
  • Fluency in both German and English.
  • Preferred: Experience with financial software and Salesforce (e.g., Microsoft D365). 
Desirable qualifications
  • Experience with international clients and complex billing structures.
  • Knowledge of intellectual property law and the associated billing specifics.
  • Experience in project management, particularly with financial systems or process optimization.
